Who I am
LettingsCover is the trading name of Jason Labuschagne, a sole trader based in Surrey providing interim lettings and property management cover to letting agencies across Surrey and South West London. I am the data controller for personal information collected through this website.

What I collect, and why
When you fill in a form on this site. The enquiry forms ask for your name, email address, phone number, the agency you are with, what you need covering and when. I use this only to reply to you and to discuss cover. The lawful basis is that the processing is necessary to take steps at your request before entering into a contract, together with my legitimate interest in responding to business enquiries.
When you book a free consultation. Booking runs through Google Calendar appointment scheduling. It asks for your name, email address, phone number, agency name and branch address, and I use those to arrange and attend the appointment.
When you email or call me. I keep the correspondence and the contact details you give me so that I can deal with what you have asked about.
When you browse the site. Squarespace, which hosts this site, sets cookies and collects basic analytics such as pages viewed and approximate location. You choose which non-essential cookies to allow using the cookie banner, and you can change that choice at any time through the Cookie Preferences link.
I do not buy, sell or rent contact data, and I do not use your information for automated decision-making or profiling.
Who I share it with
I use a small number of providers who process data on my behalf:
- Squarespace for website hosting, form submissions and analytics
- Google Workspace for email and calendar booking
I will not share your information with anyone else unless you ask me to or I am required to by law.
Some of these providers operate outside the UK. Where that is the case, transfers are covered by the safeguards those providers have in place, such as the UK International Data Transfer Addendum or equivalent contractual clauses.
How long I keep it
Enquiries that do not lead to work: up to 12 months, then deleted. Records relating to work I have carried out: six years from the end of the engagement, to meet HMRC and insurance requirements.
Your rights
Under UK data protection law you can ask me for a copy of the personal data I hold about you, ask me to correct or delete it, ask me to restrict or stop using it, and ask me to transfer it to someone else. Email jason@lettingscover.co.uk and I will respond within one month.
If you are unhappy with how I have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Data I handle while covering your branch
Any landlord, tenant and applicant data I handle while working at your agency stays yours. You remain the data controller for it, I act on your instructions only, and I sign a non-solicitation agreement covering your landlords and tenants before I start. I do not take copies of your data away with me.

If I change this policy I will update the date at the top of this page.
